Role Overview
We are looking for an organized Construction Project Coordinator based in Latin America (LatAm) with excellent English proficiency and a neutral accent to oversee essential project administration. Serving as the primary first point of contact for incoming customer inquiries, this role spends approximately 50% of the time on client-facing calls to capture the full scope of construction jobs and pass details along to the Project Manager. Additional duties include project monitoring, tracking, compliance, project billing status, drafting correspondence, managing files, and creating reports. The ideal candidate thrives in a detail-oriented environment and ensures projects move smoothly from initial setup through final billing.
Key Responsibilities
Customer Service: Serve as the primary first point of contact when a customer reaches out, spending about 50% of your time on client-facing calls to capture the complete scope of the construction job and seamlessly pass all details along to the Project Manager.
Project Administration: Review and validate project file documentation, ensure all client requirements are strictly followed, and perform the initial project administrative setup.
Audit & Compliance: Complete and meticulously review job file documentation for final upload and the internal audit process. Ensure required forms are completed and executed by the customer/client.
Financial Tracking: Issue purchase orders based on the project budget, monitor schedules and budgets, and validate completed purchase order documentation while meeting strict deadlines.
Reporting & Documentation: Maintain the Work-in-Progress (WIP) report and payment schedule spreadsheets. Prepare project reports and maintain internal and external communications. Track and maintain all subcontractor documentation.
Team Collaboration: Collaborate weekly with Project Managers to provide updates on file progress and billing status.
Support Duties: Assist with other administrative duties as necessary.
Requirements & Qualifications
Experience: A solid background in the construction industry working in a Project Manager, Project Coordinator, or similar administrative role is required, along with demonstrated CSR and customer-facing communication experience.
Education: High school diploma or GED is required.
Communication & Language: Excellent spoken and written English skills with a neutral accent are strictly required for high-volume customer-facing phone interactions.
Technical Proficiency: Working knowledge of current business software technologies for drafting correspondence, generating reports, and managing data.
Location & Remote Infrastructure: Must be based in Latin America (LatAm) with a dedicated, noise-free home office setup equipped with a reliable, high-speed internet connection and a backup power source.
Preferred Qualifications (Bonus):
An Associate’s or Bachelor’s degree is highly preferred.
