Role Overview
Our client is acquiring a residential lawn care business (with a possible second, related tree care acquisition) and needs a generalist Office Administrator to centralize phone, customer, and light administrative support as the business transitions from an owner-operated model to a structured operation.
Key Responsibilities
Reception & Phone Support: Answer all inbound calls for the business via a centralized line, take detailed messages, and provide simple, pre-scripted quotes (e.g., standard mowing pricing tiers) over the phone.
Lead & Issue Triage: Support incoming leads, route and triage customer service issues, and properly escalate complex sales conversations or estimates to the General Manager or ownership.
Field Crew Support: Assist field crew members with basic questions and navigation, utilizing your bilingual skills to seamlessly support the Spanish-speaking crew.
CRM & Data Management: Learn and operate Jobber (CRM and scheduling software) to manage daily operations. Assist in migrating historical data from Yardbook and maintain highly organized customer and job records.
Payroll Assistance: Support payroll processing, payroll posting, and regular audits alongside the office lead.
Requirements & Qualifications
Language Proficiency: Full fluency in both English and Spanish (written and verbal) is strictly required to effectively communicate with clients and field crews.
Soft Skills: Strong communication, organizational skills, critical thinking, and problem-solving abilities.
Autonomy & Tech-Savvy: Self-motivated with the ability to work independently with minimal oversight. Must be a quick learner who is comfortable picking up new software (Jobber is highly user-friendly).
Remote Infrastructure: Must have a dedicated, quiet home office setup equipped with a reliable, high-speed internet connection and a working webcam.
Preferred Qualifications (Nice to Have):
Prior experience in field-service, home services, or similar small-business administrative support.
An upward mobility mindset with a strong interest in growing into a more senior operations role as the business scales.
Schedule & Work Arrangement
Employment Type: Full-time (40 hours per week).
Days: Monday through Friday.
Working Hours: Standard US business hours (exact schedule to be confirmed based on operations).
Location: Fully Remote (Latin America preferred).
