About the Role
Are you a "Type A" powerhouse professional who thrives on organization and accountability? We are seeking a high-level Remote Executive Assistant to serve as the strategic "right hand" to our CEO across a diverse portfolio of companies, including moving and home services brands. This is not a basic administrative position; you will act as a true Force Multiplier, ensuring operational excellence and instilling accountability across a fast-paced, multi-company environment.
Core Responsibilities
Strategic Communication & Lead Oversight: Take full ownership of the CEO’s inbox, prioritizing urgent matters and drafting professional responses. You will also monitor missed calls and lead systems to ensure potential customers are followed up with immediately.
Operations & Accountability Mastery: Build and manage daily KPI dashboards to track critical metrics like revenue, job volume, and call data. You will maintain a "bird’s-eye view" of all company tasks, relentlessly following up with teams to ensure deadlines are met.
SOP & Workflow Architecture: Organize and maintain Standard Operating Procedures (SOPs) and digital systems to maximize operational efficiency across multiple brands.
Financial & Marketing Support: Execute light financial tasks, including invoicing, basic tracking, and operational reporting. You will also assist in coordinating marketing efforts and performance reports.
Executive Liaison: Serve as a bridge between the CEO and stakeholders, coordinating logistics and managing high-priority administrative follow-through.
Qualifications & Skills
Proven Experience: 2+ years as an Executive Assistant or Operations Assistant. Experience supporting a CEO in a high-growth environment is strongly preferred.
Technical Toolkit: Advanced proficiency in Microsoft 365 (Outlook/Excel). Familiarity with SmartMoving (CRM), RingCentral (VoIP), and QuickBooks is a significant plus.
The "Proactivity" Mindset: A self-starter who identifies solutions before problems arise and maintains extreme attention to detail.
Communication: Exceptional written and verbal English skills.
