Executive Assistant – Operations & Strategic Support (Multi-Company)
Location: Remote (Philippines / Mexico / LatAm)
Shift: Full-Time | US Central Time Business Hours
About the Role
We are seeking a high-level Executive Assistant to serve as the strategic "right hand" to our CEO across a fast-paced portfolio of companies, including Moving and Home Services brands. This is a "Command Center" position designed for a powerhouse professional who excels at driving organization, instilling accountability, and executing complex tasks. You will act as a true Force Multiplier for leadership, ensuring operational excellence across all departments.
Core Responsibilities
Executive Inbox Ownership: Actively manage the CEO’s inbox. You will prioritize urgent matters, draft high-level correspondence, and ensure every lead system is monitored for immediate follow-up.
Operations & KPI Tracking: Build and manage daily KPI Dashboards to track revenue, job volume, and call data. You maintain the "bird’s-eye view" of all company tasks and proactively hold team members accountable to deadlines.
System & SOP Maintenance: Organize and maintain Standard Operating Procedures (SOPs) and digital file systems to ensure the business remains scalable and efficient.
Financial & Admin Support: Execute light financial tasks, including invoicing, basic tracking in QuickBooks, and operational reporting.
Liaison & Coordination: Act as a central link between the CEO and internal/external stakeholders, managing travel logistics and coordinating marketing performance reports.
Qualifications & Skills
Experience: 2+ years as an Executive Assistant or Operations Assistant (supporting a CEO in a high-growth environment is a massive plus).
Technical Mastery: Advanced proficiency in Microsoft 365 (Excel/Outlook). Experience with SmartMoving or similar CRMs and QuickBooks is highly preferred.
The "Owner" Mindset: A relentless focus on follow-up and the ability to identify solutions before problems even reach the CEO's desk.
Communication: Exceptional written and verbal English skills with a polished, professional tone.
Availability: Must be available for 40 hours per week aligned with U.S. Central Time.
