Role Overview
We are seeking a highly organized Bid Coordinator to manage the administrative front-end of the estimating pipeline for our domestic estimating team. Serving as the central hub for incoming bid invitations, document management, and deadline tracking, this role allows estimators to focus strictly on technical scope and pricing. The ideal candidate will streamline the intake process for commercial roofing and cladding bids, ensuring zero missed deadlines and maintaining highly organized project workflows.
Key Responsibilities
Pipeline Management: Monitor bid portals, incoming emails, and client portals for new bid opportunities and invitations to bid (ITBs).
Document Control: Download, organize, and consistently version-control all project files (drawings, specifications, addenda) into the company’s standardized server structure.
Scheduling & Coordination: Maintain an accurate, up-to-date department bid calendar, schedule pre-bid walk-throughs, and clearly communicate critical dates to the estimating team.
External Communication: Act as the initial point of contact with General Contractors (GCs) to request bid extensions, submit RFIs (Requests for Information), and confirm intent to bid.
Compliance & Documentation: Request bid bonds, insurance certificates, and compile comprehensive pre-qualification packages required for bid submissions.
Requirements & Qualifications
Experience: 1–3 years of experience in an administrative or project coordination role.
Technical Proficiency: Familiarity with standard construction documents and bidding portals (e.g., BuildingConnected, Procore, ISqFt).
Core Competencies: High attention to detail, accuracy, and rigorous documentation practices. Strong organizational and time management skills, combined with effective written and verbal communication abilities. Must be able to pass a pre-employment screening.
Remote Infrastructure: Must have a dedicated, noise-free home office setup equipped with a reliable, high-speed internet connection and a backup power source.
Preferred Qualifications (Bonus):
Prior administrative or coordination experience specifically within the construction industry.
